Sustainable trade fair presence: best practices for climate protection in exhibition stand construction

Trade Shows – Proven as Never Before
The COVID years have shown that the valuable direct human-to-human contact at a trade show cannot simply be replaced digitally. Not only because humans are social beings and the right “chemistry” is not always conveyed through a screen. Trade shows enable an immediate form of personal contact, and even complex technology is easier to explain and communicate face-to-face. The general response to the first trade shows in 2022 after the forced hiatus was therefore extremely positive.
Trade Shows and Sustainability – Is That Possible?
However, a massive shift in thinking is currently evident everywhere: Whether for reasons of climate protection, resource efficiency, or rising energy costs – no company can or wants to avoid the topic of sustainability. Yet this often reveals a dilemma, as trade shows typically require high material and energy expenditure and generate mountains of waste afterward. They appear anything but environmentally friendly. And which company that sets high goals for climate friendliness wants to have these questioned by its participation in important industry events? There are significant differences in exhibition construction – your own CO2 footprint can be kept low with the right partner.

Sustainable Materials and Subsequent Recycling
The problem: Exhibition booths are often custom builds that are only needed once for the respective event. They require substantial materials for production and generate considerable waste afterward. To conserve valuable raw materials, Messe-Pro uses certified high-quality recycled wood in booth construction. However, even this is not disposed of afterward but is further processed into wood pellets that are used for heating in the company’s own facility. Thus, a large portion of the resulting materials is used effectively and sensibly.
Completely Climate Neutral
But that is only one aspect, as the exhibition builder is also highly committed to sustainability beyond this. Thanks to an electric vehicle fleet, its own PV system, and pellet heating for waste recycling, the company’s CCF (Corporate Carbon Footprint) has been significantly reduced. The remaining CO2 emissions are also offset. For this purpose, the company is involved in three climate protection projects: forest protection in Mataven (Colombia), clean drinking water in Mozambique, and reduction of plastic in the world’s oceans. All of this is monitored, documented, and certified by the organization ClimatePartner.
Compliance with Climate Goals Is Possible
In summary: Active climate protection and successful trade show participation need not be contradictory but can complement each other well. This allows companies to not only meet their own corporate standards in such activities but also communicate them externally. The key is forward-looking and comprehensive planning from a single source, as well as executing partners who have already internalized the topics of CO2 sensitivity and efficiency.
Seven Tips for a Sustainable Exhibition Booth
1. Reuse Instead of Discard
A modular booth system can be easily adapted to different conditions and is therefore suitable for use at various trade shows. Modules with standardized aluminum frame systems are not only convincing due to their low weight but can also be individually adapted to a wide variety of booth conditions. Side and back walls, room dividers, and partitions in particular can be easily integrated into various scenarios.
2. Durable and Sustainable Materials
High quality in the selection of raw materials used pays off twice. On the one hand, durable materials guarantee a long service life across multiple trade shows. On the other hand, the quality of the exhibition booth naturally also reflects the quality of the company. Sustainable materials consist of renewable resources or recycled material and can themselves be recycled or reused at the end of their life cycle. Environmental labels and certifications help with selection.
3. Environmentally Friendly Flooring
What applies to walls and other booth modules also applies to flooring. There is a wide selection of reusable carpet or vinyl tiles. These are not only easy to clean but, above all, can be individually adapted to the respective booth area. In addition, these floor coverings can also be made from recycled material, making them even more sustainable.
4. Rent Instead of Buy
Depending on the number of planned trade show appearances, it may make sense to rent individual booth furniture or even the entire exhibition booth instead of purchasing them. This protects the environment and saves transportation and storage costs.
5. Digital Content Replaces Paper
Screens and tablets, as well as augmented or virtual reality, convey your offering much more comprehensively and precisely than brochures and flyers. At the same time, they open up new worlds for marketing. The key is to optimally integrate screens and multimedia spaces into the exhibition design. QR codes for downloading additional information must also be well placed. This not only saves the printing of flyers and brochures and thus paper, ink, and solvents, but also makes the trade show presence digitally measurable.
6. Conserve Resources During Setup and Dismantling
Valuable resources can also be saved before and after the trade show. Especially with standardized modules, it is possible to work with local installers, eliminating a large portion of the exhibition installers’ travel. The transport of the exhibition booth itself can also be made sustainable through the use of transport boxes, as this avoids a great deal of packaging film and other waste. These transport crates are available in a variety of formats, are stackable, easy to handle, and ensure safe transport and proper storage.
7. Energy-Efficient Lighting
LED lighting is standard today. Compared to conventional light sources, they consume less electricity and are up to 80 percent more efficient. They also contain no toxic substances and are available in numerous colors. In addition, they have a longer lifespan and generate lower operating costs.
